Web form (lead form)

In short

A web form (lead form) is a set of fields on a company's website where an enquirer leaves their details and request, and which becomes a new contact or lead in the CRM.

What does Web form mean?

A good form is short: it asks only what the first step needs. A longer form is easier split into steps, with a field shown only when the previous answer makes it relevant.

When a form also asks for consent to marketing email, under the GDPR the controller must be able to demonstrate that the person consented (Article 7(1)). So it is worth keeping the consent wording and the time as well. This is general information, not legal advice.

Why does it matter to a small business?

For a small business the website is often the cheapest source of enquiries, but only when incoming requests do not sit waiting in an inbox. When the form writes straight into the CRM, every enquiry has an owner and a next step at once, and it is clear which page it came from.

What does it look like in practice?

Details

Suppose an air-conditioning installer in Budaörs puts a three-step quote request form on its website: contact details, the size of the flat, and a conditional field that appears only when there is already a unit. Each submission creates a contact and goes to the next colleague in the rota.

How does HelloTeam CRM handle it?

Details

HelloTeam's Forms module builds embeddable forms with steps and conditional fields; a submission creates a contact and can start an automation or open a helpdesk ticket. Double opt-in can be switched on, and consent is then recorded at the click, with the wording shown.

Module: Forms (paid module, price coming soon).
